BACKGROUND

A multi-state business running on manual processes

This company sold custom blinds, pergolas, and outdoor solutions across Adelaide, Sydney, Newcastle, Melbourne, and Queensland. Their marketing matrix was vast: roughly 80 landing pages across Google, Facebook, and email.

The core problem was infrastructure. Every lead required a human to manually export and move data. Three marketing team members were spending 45 minutes every single working day on administrative copy-pasting.

Over six and a half years, I built three automation systems that progressively eliminated these gaps.

Phase 01 — Year 2

Stop the Bleeding

Zapier connects Unbounce and website forms to Google Sheets. Three people get 45 minutes back, every day.

The Problem

Every form submission — from ~80 Unbounce landing pages and the main website — required a manual export. Three marketing team members spent a combined 45 minutes every working day moving lead data by hand. That's 195 hours per year of skilled team capacity spent on copy and paste.

The Approach And What Was built

I made the case to management to bring in Zapier. The build connected every Unbounce form and every website contact form to a centralised Google Sheets document automatically — the moment a lead came in, it was captured. No exports, no queue, no human in the loop.

Phase 02 — Year 3

Rebuild the Core

~80 Unbounce pages migrated to WordPress. Multi-channel leads consolidated into a single real-time pipeline.

The Problem

Unbounce was solving a landing page problem but creating new ones. ~80 pages hosted on a separate platform meant fragmented management, an ongoing subscription cost, and limited SEO value feeding back to the main domain. Meanwhile, Facebook Lead Ads and Google Ads lead forms were generating leads outside the existing automation entirely.

The Approach And What Was built

I rebuilt the main website to host all landing pages natively in WordPress — one page per product, per state, structured to match the existing Unbounce matrix. The migration eliminated the Unbounce subscription and brought the full page estate under one roof.

At the same time, I extended the Zapier layer to bring Facebook Lead Ads and Google Ads lead forms into the same Google Sheets pipeline that was already running. All three channels now fed the same destination automatically.

  • Rebuilt ~80 Unbounce landing pages in WordPress — one per product, per state, preserving the campaign structure
  • Facebook Lead Ads connected via Zapier → Google Sheets
  • Google Ads lead forms connected via Zapier → Google Sheets
  • Unbounce subscription eliminated — all pages now managed in the existing WordPress infrastructure

Phase 03 — Year 4.5

Close the Loop

Custom CRM + CleverReach. State-based email sequences trigger automatically upon job completion.

The Problem

Google Sheets was working as a data store but it wasn't a sales tool. The company had no CRM, no structured sales pipeline, and no automated post-sale process. After installation, whether a customer received a thank-you, a satisfaction survey, or a product care guide depended entirely on someone remembering — across five branches, consistently.

The Approach And What Was built

The company brought in a custom-built CRM and CleverReach as their email platform. My role was to define how the system should work end-to-end — the requirements, the data flows, the trigger logic — and then build the automation layer myself.

  • Defined the full system requirements — how data should flow from website to CRM to CleverReach
  • Collaborated with the CRM developer on the backend integration between the website and CRM
  • Built Zapier automation to watch for job completion dates in the CRM and add customers to state-specific CleverReach lists (SA, NSW, VIC, QLD)
  • Built all email templates in CleverReach — thank-you, satisfaction survey, and product care nurture sequence
  • Configured and managed all CleverReach lists, segments, and automation triggers
